How to Verify Your Qualifications with ZAQA: A Step-by-Step Guide
Validating your educational qualifications is a crucial step for employment and further studies in Zambia. The Zambia Qualifications Authority (ZAQA) has made this process accessible through their online Qualifications Management System (QMIS).
Whether you hold a local Grade 12 certificate or a foreign degree, this guide will walk you through the process of applying for validation and evaluation online.
Important: You do not need to certify your documents before scanning them for this process. However, ensure all scans are clear and legible.
ZAQA Verification/ Validation Process
What you will need:
- A valid email address.
- A digital copy of your Passport or National Registration Card (NRC). Note: Front and back must be scanned into a single document.
- Digital copies of your qualifications (Degrees, Diplomas, Certificates, etc.).
- A printer and scanner (for the consent form).
Step 1: Create Your Account
To begin, you must register on the ZAQA portal.
- Visit the official ZAQA website at www.zaqa.gov.zm.
- Click on Apply Online.
- Select Sign Up, choose your account type (usually “Individual” for personal applications), and fill in the requested information.
- Activate your account: Check your email inbox for an activation link sent by ZAQA. Click the link to verify your email and activate your profile.
Step 2: Initiate the Application
Once logged in:
- Locate the Menu Bar at the top left of the screen.
- Select Validation and Evaluation.
- Click Apply and fill in your personal details as requested.
- Click Save and Continue.
Step 3: Upload Documents
This is the most critical part of the process. Follow these instructions carefully to avoid delays.
- Consent Form: Download the consent form provided on the page. Print it, sign it, and scan it back onto your computer.
- Identification: Attach a clear copy of your Passport or NRC.
- Tip: If using an NRC, ensure the front and back are scanned together in one single document.
- Qualifications: Attach a copy of your qualification.
- Select the Country of Issue for the qualification.
- Click Add.
- Multiple Qualifications: If you have more than one certificate to verify, click Add More to repeat the process for each one.
- Submit Consent: Under the submission section, attach your signed consent form.
- Click Submit.
Step 4: Fees and Payment
After submitting, the system will generate an Invoice showing the total amount due and your unique Application ID.

Step 5: Finalizing the Process
Once you have made the payment at the bank:
- Do not attempt to upload the receipt to the portal (the system does not allow this).
- Instead, write your Full Names and Application ID clearly on the deposit slip.
- Scan or take a clear photo of the slip.
- Email the proof of payment to: [email protected].
A receipt will be emailed back to you once finance processes the payment.
